Administrative Analyst (CME)

MAIN DUTIES AND RESPONSIBILITIES:

  • Support the Student Housing Coordination Office in the administrative, operational, and financial management of the housing units;
  • Monitor the performance of outsourced services for cleaning, building maintenance, air conditioning, pest control, laundry, property security, and other housing-related contracts;
  • Monitor compliance with Service Level Agreements (SLAs) by conducting inspections, using checklists, and proposing continuous improvement measures;
  • Develop and monitor performance indicators (KPIs), consolidating information to support the coordination team’s decision-making;
  • Perform administrative oversight of contracts, including their term, documentation, measurements, amendments, and monitoring of contractual obligations;
  • Verify invoices, bills, and receipts, as well as submit payment requests and track payments in the institution’s systems;
  • Support the procurement and service contracting processes by requesting quotes, monitoring suppliers, and tracking deliveries;
  • Maintain contact with suppliers and service providers to monitor requests, resolve outstanding issues, and ensure the quality of the services provided;
  • Monitor the maintenance of the Student Housing facilities, furniture, appliances, and other assets, and recommend replacements, repairs, or purchases as needed;
  • Monitor inventory levels of consumables, cleaning supplies, maintenance supplies, and fixed assets by conducting periodic inventories and tracking usage;
  • Organize, digitize, and keep up to date the administrative documentation related to coordination, contracts, processes, and physical and electronic files;
  • Prepare spreadsheets, management reports, presentations, flowcharts, operating procedures, and other administrative documents;
  • Support the management of the operational team by monitoring attendance, time sheets, training, onboarding of new employees, and other administrative tasks related to outsourced teams;
  • Support the planning and logistics related to students’ move-in, stay, and move-out from the Student Housing, including occupancy tracking, moves, and administrative records;
  • Assist students, employees, and suppliers by providing guidance and referring their requests to the appropriate departments;
  • Conduct periodic inspections of residential units, common areas, and support spaces, documenting nonconformities and monitoring the implementation of corrective actions;
  • Develop and monitor administrative processes with the aim of standardizing routines and continuously improving the services provided;
  • Perform other related duties consistent with the nature of the position and the needs of the Student Housing Coordination Office.

MINIMUM REQUIREMENTS FOR THE POSITION:

  • Bachelor’s degree in Business Administration, Engineering, or a related field;
  • Experience in administration and facilities management;
  • Experience in customer service;
  • Advanced Excel;
  • Mastery of the Office Package.

DESIRABLE REQUIREMENTS FOR THE POSITION:

  • Experience in administrative and financial routines and controls;
  • Experience in the ERP system Protheus and the like;
  • Experience in the hospitality or condominium industry.
